Tax Operations Administrator

This position is responsible for providing a broad spectrum of support to the Director of Tax Operations in a fast paced, challenging and rewarding environment. Requirements include extensive people, communication, organizational, technical and process skills, and the ability to continuously prioritize multiple projects in a fast-paced environment.

Responsibilities include:

  • Monitor schedules daily to ensure staff are effectively utilized to support the achievement of productivity by reviewing available resources and facilitating necessary adjustments ensuring the alignment of resources based on experience, industry, technical expertise and geography when appropriate
  • Assist with facilitating day to day processes within the department
  • Review of correspondence, reports, and other documents; prioritizes such materials and prepares summaries as necessary
  • Assist in development of training materials and department communications
  • Assist in maintaining databases, spreadsheets, project trackers, etc. to be current and accurate
  • Coordinates with Tax Administrator to ensure completeness, accuracy, and timeliness of workflows
  • Create solutions to mitigate scheduling conflicts
  • Assist the development and implementation of scheduling process improvements and provide information for short-term and longer term strategic decisions
  • Knowledge of technical requirements through collaboration with tax executives resulting in the ability to evaluate complexity of work and assign accordingly to the appropriate staff
  • Provide administrative support to the tax department in a manner that optimizes efficiency, resources, and client satisfaction
  • Work collaboratively to provide overflow and backup support for other team members

Qualifications include:

  • Bachelor’s degree in business, accounting or related field required
  • 2+ years in an administrative capacity with tax operations preferred
  • Tech savvy with the ability and desire to embrace necessary software applications i.e. ProStaff, CCH Practice Management, GoFileRoom
  • Flexibility to change direction frequently between tasks and between different clients; ability to prioritize
  • Proven ability to work in a deadline-driven environment and handle multiple projects simultaneously
  • Intermediate to advanced proficiency with all Microsoft applications
  • Strong attention to detail with precise follow-through
  • Ability to work independently and in a team environment
  • Flexibility to work additional hours during peak periods of the year
